(“Censinet”, “we” or “us”) handles personal information that we collect through the Censinet Workflow Connector available in the ServiceNow Store (the “Connector”) when installed and used within your ServiceNow environment. This policy applies specifically to the Connector and does not apply to personal information that we collect through our website at https://www.censinet.com, which is governed by Censinet’s general privacy policy at https://www.censinet.com/privacy-policy.
1. What Data is Collected
The Connector facilitates the transfer of assessment request data from ServiceNow to the Censinet platform via a secure API call. When you use the Connector to synchronize risk-assessment data between ServiceNow and the Censinet platform, we collect the following data elements:
- Vendor name and contact information
- Product or service name
- Requestor details
- Metadata related to the risk assessment (e.g., request date, status)
- Intake questions and answers (if configured)
The Connector requires and transmits only the customer-provided API key to authenticate requests to the Censinet Platform. It does not collect or transmit any additional authentication credentials, passwords, or other sensitive ServiceNow configuration data.
2. How the Data is Used
We use data transmitted through the Connector solely for the purpose of initiating and managing third-party risk assessments on the Censinet platform. Specifically, this includes:
- Creating new risk assessments within Censinet based on requests sent from ServiceNow
- Synchronizing assessment status between Censinet and ServiceNow
We do not use personal data transmitted through the Connector for analytics, marketing, profiling, or any purpose beyond the risk assessment workflow.
3. Data Sharing and Third Parties
The Connector does not include or integrate any third-party software components or services. Censinet does not share data transmitted through the Connector with any third parties. Data maintained on the Censinet Platform is processed by Censinet’s third-party cloud hosting providers.
Only authorized systems and personnel within Censinet have access to the data transmitted through the Connector for the purposes described above, and such access is governed by appropriate internal access controls and confidentiality agreements.
4. Data Transfer, Storage, and Security
The Connector transmits data from ServiceNow to the Censinet platform, which resides outside the ServiceNow environment. Data transmitted through the Connector is sent securely to the Censinet platform using encrypted API communication channels (HTTPS/TLS).
Once received, the data is stored and managed in accordance with Censinet’s platform security practices, which include:
- Role-based access controls
- Data encryption at rest and in transit
- Regular security audits and monitoring
The Connector itself does not store data. All processing and storage occur within the Censinet platform infrastructure, which is hosted in the United States.
5. Your Choice and Controls
You may disable or uninstall the Connector at any time via the ServiceNow Store. Doing so immediately halts all data synchronization.
